Built around the record

Hired, paid, and
remembered properly.

The file an accountant, a buyer or an auditor would ask for — kept as you go, not reconstructed in a panic.

01

Roster and onboarding

Every hire arrives with the checklist laid out: W-4, I-9 with its three-day deadline, the state new-hire report, direct deposit, the handbook. Check things off as they happen; what is still open stays visible.

02

Roles that carry pay

Job roles hold salary bands; each person's compensation is an effective-dated history that is never rewritten — a raise is a new row. Roles are seats: a W-2 employee, a 1099 contractor or a vendor can fill one, and your estimates price the seat.

03

Endings on the record

Termination freezes the file and stamps the legal retention clocks — I-9 and FLSA time-and-pay records — so what to keep and until when is never a guess. Everyone with an account sees their own file, always.

How it works

Three motions, one file.

  1. Put the roster in

Add each person once — name, start date, role, pay. The onboarding checklist appears on their file by itself.

  2. Keep it current

Raises, role changes and leave land as dated rows. People with accounts keep their own emergency contacts current under My record.

  3. Let the rest read it

Hours come from Time, estimates will price the roles, and pay runs assemble from what is already true. One record, many readers.

Privacy, in practice

No surveillance. None.

Plenty of HR software sells employee monitoring as a feature. Employees has no location tracking, no geofenced punches, no photo verification, no screenshots and no idle monitoring — and never will. Salaries travel only to the people who manage employees and to each person about themselves; pricing a job never reveals what anyone is paid. Your people are not our product either: no ads, no profiling, no data sales.

Before you start

A few useful answers.

Questions before you start?

Contact Priv Life to confirm current pricing and whether Employees fits what you need.

Ask about Employees
Does it run payroll?

Employees assembles the pay run — hours from Time, salaries prorated, PTO applied — and exports what your payroll service expects. It does not compute taxes or file them; a connected payroll provider is on the roadmap, and the app will say plainly what is connected.

Can contractors be on the roster?

Yes. 1099 contractors sit beside W-2 employees with their own kind, no withholding assumptions, and yearly 1099 totals. Vendors — companies you subcontract to — get their own roles and rates next.

Who sees salaries?

People who manage employees, and each person about themselves. The rate card derives costs from salaries behind a separate permission, so someone pricing a job sees bill rates — never pay.

What about the legal paperwork?

The onboarding checklist carries the federal basics (W-4, I-9 and its three-day deadline, state new-hire reporting), and termination stamps the I-9 and FLSA retention clocks. It is a reminder system, not a law firm — it keeps the dates in front of you.

How does this fit the rest of the suite?

Employees is the core of the ERP taking shape: Time already owns the hours, estimates will price the job roles through a rate card, and Invoice bills the result. See Priv Life for business.
